Appointment reminder
software.
Reminder software for small clinics and practices that runs on your own computer, reminds patients from your own diary, and never holds a copy of your patient list in the cloud.
Most appointment reminder software wants to live in the cloud, hold a copy of your patient list, and bolt on features you will never use. If you run a small clinic or practice, that is a lot of exposure for one simple job: making sure people remember to turn up. Deskless takes the opposite approach — it is a small program that runs on a computer at your own premises and does the reminding from the records you already keep.
How the reminders work
Deskless reads your diary — and only reads it — and the day before each appointment it drafts a clear, friendly reminder in your own words. It also handles the follow-on questions a reminder tends to trigger:
- Confirmations and “what time am I in?”, answered from your diary.
- Cancellation and notice-period questions, answered from your own policy.
- Rebooking nudges when someone is due back — without you keeping the list in your head.
Where your patient data lives
On your machine, where it already sits. That is the point. Deskless reads your records in place and can never write to them, so there is no second copy of your patient list in someone else’s cloud. To draft a reply it sends only that one message and the matching record to an AI service (Anthropic), whose commercial terms mean that content is not used to train their models; reminders themselves are simple templates and involve no AI at all. Your diary and patient list never leave the building.
Nothing to integrate, nothing to break
Most reminder software has to hook deep into your booking or practice-management system — which is the part practices rightly worry about. Deskless doesn’t. It works from an export of your own appointments, so there is nothing to connect into your live system, nothing that can corrupt a record, and nothing to unpick if you ever stop. If you can produce a spreadsheet of your diary, it has everything it needs.
When a patient replies
Reminders are only half the job; the replies are the other half. When someone answers — to confirm, to ask to move the appointment, or to ask a question — Deskless reads the reply in plain English rather than demanding they text back a single letter. A confirmation is logged, a question it can answer is drafted from your policy, and anything about money, health or a complaint is handed straight to you.
It drafts, you approve
Every message is drafted and waits for your approval until you decide you trust it — it cannot email a patient behind your back. And anything about money, a complaint, or a clinical question is handed straight to a person rather than answered automatically. That is the line it will not cross, by design.
First month free, no contract. Send us an export of your appointments and we’ll set it up against your real diary so you can watch it draft your own reminders before you decide anything.
Questions about the software
What is appointment reminder software?
It is software that automatically reminds patients of upcoming appointments so fewer are missed. Deskless does this from your own diary, drafting each reminder in your voice and also answering confirmation and cancellation questions.
Where does Deskless run, and is patient data safe?
It runs on a computer at your own practice and reads your records where they already sit. It can never write to them, and your diary and patient list never leave the building.
Does it send email or SMS reminders?
Email by default, which is free to send. For text reminders you plug in your own messaging account and pay that provider directly at around 4p a message, with a spend cap you set.
Does it integrate with my practice-management system?
It doesn’t need to. Deskless works from an export of your appointments rather than hooking into your booking or PM system, so there is nothing to install, nothing that can alter your records, and nothing to disconnect if you stop. If you can export a spreadsheet of your diary, you are ready.
How much is it, and is there a contract?
A single department is £99/$99 a month and the Front Desk bundle is £199/$199. The first month is free, there is no contract, and you keep everything it produced if you stop.
Try it on your own diary.
Send me an export of your appointments and tell me how your practice runs. I’ll set Deskless up on your real diary and send you back a page like the homepage so you can watch it draft your own reminders.
